Seattle Wedding Transportation Timeline: Bridal Party and Guest Logistics Hour by Hour

Seattle wedding transportation works best when it’s planned backward from the ceremony time. Book the bridal party’s pickup at the getting-ready location first, then build in photo stops, guest shuttles from the hotel, the move to the reception and a getaway car. For most Seattle weddings, that means three transportation jobs on one date: the bridal party, the guest shuttle and the couple’s exit. All three can be quoted as one booking.

Here’s an hour-by-hour template you can adapt for your own day.

What does a Seattle wedding transportation timeline look like?

This sample timeline assumes a 4:00 p.m. ceremony, a reception at the same or a nearby venue, and an exit at 10:30 p.m. Adjust each step to your own schedule.

12:00 p.m.: Confirm the day’s plan

Share the final itinerary, addresses and a day-of contact with your transportation provider at least a few days before. On the morning of the wedding, the day-of contact (a planner, coordinator or trusted friend) should have the dispatch number saved: (425) 739-1141.

1:30 p.m.: Bridal party pickup

The first vehicle arrives at the getting-ready location, often a downtown hotel, a Ballard rental or a family home. Plan for a 15-minute buffer. Dresses, bouquets and photographers always take longer than expected.

2:00 p.m.: First-look or photo stop

If you’re taking portraits before the ceremony, add the photo location to the itinerary: a waterfront park, Kerry Park or a quiet spot near the venue. Hourly service includes standby time while you shoot.

2:45 p.m.: Guest shuttle begins

Guest shuttles run as timed loops between the hotel block and the venue. Start the first loop early enough that guests are seated 15 to 20 minutes before the ceremony.

3:30 p.m.: Bridal party arrives at the venue

Aim to arrive 30 minutes before the ceremony so there’s time to settle, freshen up and line up.

4:00 p.m.: Ceremony

The vehicles stand by. If the ceremony and reception are at different venues, the bridal vehicle repositions during the recessional.

5:00 p.m.: Move to the reception

If you’re changing venues, guest shuttles run the reverse loop while the couple takes the bridal car, often with a golden-hour photo stop on the way.

9:30 p.m. to 11:00 p.m.: Guest return loops

Late shuttles take guests back to the hotel so nobody has to drive after the toasts. Plan at least two return runs, an early one for families and a last one at the end of the night.

10:30 p.m.: Getaway car

The couple’s exit, usually in a sedan or stretch limo, to the hotel or a late-night spot.

Which vehicles work best for each part of the wedding?

Kamo Limo’s wedding transportation fleet includes:

  • Chrysler 300C stretch limousine (up to 10 passengers): the classic bridal party and photo vehicle.
  • Mercedes-Benz Sprinter high-roof van (up to 14 passengers): the go-to for guest shuttle loops and larger wedding parties. Most adults can walk the aisle upright, which makes it easier in formal wear.
  • Luxury SUV (up to 6 passengers): parents, grandparents or a smaller bridal party.
  • Luxury sedan (up to 3 passengers): the getaway car, or a ride for the officiant or VIP guests.
  • Coach or multiple vehicles for groups of 15 or more.

See every vehicle on our fleet page.

How do you plan transportation for out-of-town wedding guests?

  • Use one hotel block as the shuttle hub. Several pickup points multiply the loop time.
  • Put the shuttle schedule on your wedding website and in welcome bags.
  • Book airport pickups separately for VIP guests. Curbside pickup at Sea-Tac is standard, and meet-and-greet inside the terminal is a paid add-on.
  • Plan for ferries if your venue is on Bainbridge, Vashon or Whidbey. Ferry legs need extra timing, so share the route when you request a quote.

What about rural and winery venues?

Many Seattle-area couples marry at Woodinville wineries or at barns in Snohomish and Skagit counties. These venues are beautiful, but they’re farther out and sometimes hard to reach. Kamo Limo asks rural venues for access and loading instructions before quoting, so the vehicle can get in and turn around safely. Ask your venue coordinator early about driveway access, gates and where vehicles can park.

When should you book wedding transportation in Seattle?

For summer Saturdays, Kamo Limo recommends booking 8 to 12 months ahead. Spring, fall and weekday weddings usually have more flexibility, but popular dates fill early in every season.

What should you budget for?

Wedding transportation is usually booked by the hour for each vehicle, and every quote is confirmed in writing before you book. When you budget, remember:

  • Gratuity isn’t included. Kamo Limo recommends 20%, at your discretion.
  • Late-night returns and holiday dates can carry published surcharges.
  • Parking, tolls and ferry fares are billed separately.

How do you plan for rain on a Seattle wedding day?

Seattle weather is unpredictable in every season, so plan for rain even in summer. Ask your venue where vehicles can pull up closest to a covered entrance, and keep umbrellas in the bridal vehicle. Build an extra 10 to 15 minutes into each leg, because wet roads slow traffic on I-5 and I-405. A chauffeur can drop you right at the door, which keeps dresses and suits dry in a way a parking lot walk won’t.

What details should you send when requesting a wedding quote?

  • Wedding date and ceremony time
  • Getting-ready, ceremony, reception and hotel addresses
  • Bridal party size and guest shuttle headcount
  • Any photo stops or ferry legs
  • Getaway time and destination
  • Day-of contact name and phone

The more complete the itinerary, the more accurate your written quote will be.

Who should be the day-of transportation contact?

Pick one person who isn’t in the wedding party, such as a planner, coordinator or trusted friend, to be the single point of contact for drivers on the day. Give them the full itinerary, the vehicle details and the dispatch number. When plans shift, which they always do, one clear contact keeps the bridal car, shuttles and getaway car in sync.
